                                                                                 Minutes of the Executive Meeting

                                                                                            October 2, 2010


    The first official meeting of the Kentucky Cowboy Mounted Shooters Officers was called to order by Match
    Director, Rod McCracken, at 6:40 p.m. at Rockin E Stables; 923 Caney Fork Road; Bardstown, Kentucky.

    The following officers were present; Rod McCracken, Angie Greenwell, Clay Greenwell, John Ashbaugh, Dennis
    Ellis, Linda Ellis.

    -Rod presented all the officers with business cards.  Some minor changes will have to be made on two telephone
    numbers.
    -Jeep shared four possible membership cards.  The officers chose number 4.  Jeep will have those printed at
    Two Guys Printing.  The cost is $9.00 per 100.
    -The CMSA will no longer honor the day membership but has started an associative membership instead which
    will be honored for fiscal year from October to October for a $35.00 fee.
    -They recommend the following guns for purchase; Army Colt, Taylor, Ruger, New Vaquero.  John offered to
    purchase parts for guns owned by members so that he can help with repairs.
    -CMSA has free automated software for tracking points for members that can be downloaded onto one of our
    machines.
    -Rod has ordered CMSA ammo and balloons.  Open ended (reloadable) blanks are not to be used for an event but
    may be used for practice.  Rod will sell balloons for 10 cents each and ammo for 50 cents each to club members
    during practice.  This is at cost.  Members may use these balloons or their own for practice but not for an event.
    -Jeep opened up the club checking account at Town and Country Bank.  Our balance is $320.00.  The officers
    decided not to get a debit card at this time.  If someone needs to order something approved by the officers of the
    KCMS they are to pay for it, save the receipt and give it to Jeep.  He will then write them a check for the amount
    spent.
    -Angie researched banners and informed the officers that Smith Brothers or Clarks Distributing can do this at a
    small cost or free.  Some advertising from local venders could be a source of income for the club.
    -KCMS will eventually have their own web site.  Rod knows that there are web hosting sites that offer this as a
    free service.  This could also be another avenue to generate interest as well as make money for the club.  Angie
    will ask some techno savvy teens if they would like to work on this project.
    -General meetings are scheduled monthly.  Practices are scheduled two per month.  It was discussed that
    practices could be mandatory for members as we get closer to our first match.  Practice is scheduled on the first
    and third Saturday each month.  For this month that would be October 2 and October 16 from 10:00 to 12:00 at
    High Trail Arabians; 989
    South Stillwell; Boston, Kentucky.  Our next meeting for members will be October 7th at 6:00 p.m. at the Nelson
    County Public Library.
    At some point, as the club grows, we may need to schedule practices at the Fair Grounds.  The first Friday of each
    month will be an officers’ meeting.  The next meeting will be Friday, November 5th at 6:00 at Rockin E Stables; 923
    Caney Fork Road; Bardstown, Kentucky.
    -Angie is checking on the cost of shirts for club members.  Possible designs were discussed.
    -Rod presented a Clay Target Shooting Fundraiser for October 23rd.  This will be held at High Trail Arabians, 989
    South Stillwell; Boston, Kentucky.  Rod will print flyers for all to post.
    -Other possible fundraisers were discussed; bake sales, rummage sales, trail rides and cook-outs.  The officers
    decided on a club sponsored trail ride on November 13th.  We will charge for the ride and offer food for purchase.
    -The cost of a timer system is over $700.00.  Angie is going to check on borrowing a timer from 4H until we have
    enough funds to purchase our own.
    -By law a child under the age of 18 needs a parent or guardian present to carry a gun.  John is going to call the
    ATF Office for clarification on this matter.

    The meeting was adjourned at 7:45 p.m.
