Executive Meeting
Minutes of September 2, 2011

The Executive Meeting of the KCMS was called to order by Match Director, Rod McCracken at 8:30 p.m.
In attendance; Rod McCracken, Ruth McCracken, John Ashbaugh, Brenda Ashbaugh, Jeep Ellis, Linda Ellis.  
Absent; Angie Greenwell, Clay Greenwell.

Treasure’s Report:  Jeep Ellis gave all the officers a copy of his ledger with all deposits and debts.  Our balance at this time is
$584.12.

Item 1.  Dues.  Our dues will be payable for the 2012 year this October.  Currently dues are $35.00 for a single member and $50.00
for a family.  Family is defined as living in the same household.  After discussion it was decided that dues would remain the same in
2012 for current members.  New members would be raised to $45.00 for a single member and $60.00 for a family.  If current
members pay after the October 31 deadline they would be required to pay the new amount.  If a new member joins after August 1 the
dues will transfer over to the following year.  

Item 2.  Charges.  The balloons and blanks are beginning to become costly.  This expense needs to be shared among members.  
There is also a concern for safety and getting a competition mind set.  After the purchase of the timer we are going to start charging
to run a stage.  The cost will be $10.00 to run each time.  Of that $10.00, $6.00 will go for balloons and ammunition, $2.00 will go
towards the club, and $2.00 will go in a pot.  A drawing at the end of the practice will determine the winner of the pot.  If a member
wishes to practice without shooting or using balloons and ammunition they can run for free.  We will also set times for warm-up,
running stages and so on.  John will be checking and loading our weapons just like a real match.

Item 3.  Next meeting date.  We will meet with all members at High Trail Arabians.  The date will be Saturday, September 10, 2011.  
Practice 9:00, Meeting 11:00, Pot Luck 12:00.  Bring a dish and your drinks, Ruth will have Sloppy Joes.

Item 4.  Coggins and Health Certificates.  These are required at each practice for the health and safety of all of our horses.  
Members need to present them to the secretary for recording and if they change horses they need to notify her of the change and
show a copy of the new horse’s Coggins and Health Certificate.

Item 5.  Our dues/insurance and timer will be over $1,000.00.  Some possible fund raiser ideas were discussed; yard sale, chili
supper and trail ride, Top Shot.
